SUBJECT: Letter from Saratoga Lions requesting City co-sponsorship for July 4th
Hometown Celebration
RECOMMENDED ACTION(S):
Move to co-sponsor the event.
REPORT SUMMARY:
Attached is a letter dated January 3, 2000 from the Saratoga Lions requesting City co-
sponsorship of this year's July 4th Hometown Celebration. As the letter notes, this year's event
will return to Villa Montalvo and is being promoted as the City's "Millennium Event".
In previous years, the City has co-sponsored the July 4th Hometown Celebration as a means of
extending coverage under its liability insurance for the event. In the absence of obtaining the
City's co-sponsorship, the event organizers would need to secure their own insurance for the one-
day festival that would be prohibitively expensive and likely result in cancellation of the event.
There is no additional cost to the City to become a co-sponsor and extend its insurance, and this
is similar to the City's co-sponsorship of the Chamber of Commerce's Celebrate Saratoga or the
Saratoga Parade. However, the Council should be aware that any claims filed in connection with
these events would be filed with the City and processed in accordance with the terms and
limitations of the City's policy with ABAG Plan Corp. This means, among other things, that the
City would be responsible for the first $25,000 paid to settle any claim since that is the City's
deductible amount under the policy. In previous years however, no claim that ! can recall has
ever been filed in connection with one of these events.
FISCAL IMPACTS:
None to co-sponsor the event. However, as noted above, the City assumes a potential financial
liability to settle any claims that might be made in connection with this event.
CONSEQUENCES OF NOT FOLLOWING RECOMMENDED ACTION(S):
The City would not become a co-sponsor of the event and its insurance coverage would not
extend to the event.
ALTERNATIVE ACTION(S):
Presumably, the City could choose to co-sponsor the event but specifically not extend its
insurance coverage.
FOLLOW UP ACTIONS:
The City will inform both Saratoga Lions and ABAG Plan Corp. of its co-sponsorship of the July
4th Hometown Celebration.
