SUBJECT: Prospect Road Median No. 11 Design - Additional Fund Approval
RECOMMENDED ACTION:
Approve an Amendment to the Independent Consultant Agreement with Callander Associates, Landscape
Architecture, Inc. for additional design work and authorize the City Manager to execute the same.
REPORT SUMMARY:
In September last year, the Council approved proceeding with design of Prospect Road Median No. 11
located between Provincetown Drive and Titus Avenue. No formal Council approval was required since the
original contract was in the amount of $22,118.
During the design review process, the City of San Jose provided two sets of comments that required
redesign and redrawing of the median curb layout plan, the grading and drainage plan as well as the
irrigation and planting plan. The design architects issued two change orders in the amount of $2,700 and
$2,500 respectively. The total contract amount including additional services is $27,318, which per current
City purchasing policy requires City Council approval.
The additional services for the median design are needed in order to proceed with the project construction.
It is therefore recommended the City Council approve attached Independent Contractor Agreement between
the City of Saratoga and Callander Associates with Amendment.
FISCAL IMPACTS:
Funding for the Prospect Road Median No. 11 design services is available in the adopted budget.
CONSEQUENCES OF NOT FOLLOWING RECOMMENDED ACTION:
Prospect Road Median design will not be completed.
ALTERNATIVE ACTION:
Council may postpone completion of Prospect Road Median No. 11 design.
FOLLOW UP ACTION:
City staff will execute a contract amendment with Callander Associates for the professional design services
of Prospect Road median No. 11.
