All Commission members, staff, and public will only participate via the Zoom platform using the process described below. The meeting is being conducted in compliance with the Governor’s Executive Order N‐29‐20 suspending certain teleconference rules required by the Ralph M. Brown Act. The purpose of this order was to provide the safest environment for the public, elected officials, and staff while allowing for continued operation of the government and public participation during the COVID‐19 pandemic. Members of the public view and participate in the meeting by using the Zoom website https://us02web.zoom.us/webinar/81747605286 or App (Webinar ID 817 4760 5286) and using the tool to raise their hand in the Zoom platform when directed by the Chair to speak on an agenda item. The public will not be able to participate in the meeting in person. As always, members of the public can send written comments to the Commission prior to the meeting by commenting online at www.saratoga.ca.us/yc prior to the start of the meeting. These emails will be provided to the members of the Commission and will become part of the official record of the meeting. During the meeting the Chair will explain the process for members of the public to be recognized to offer public comment. In accordance with the Americans with Disabilities Act and the Governor’s Executive Order, if you need assistance to participate in this meeting due to a disability, please contact the City Clerk at debbieb@saratoga.ca.us or calling 408.868.1216 as soon as possible before the meeting. The City will use its best efforts to provide reasonable accommodations to provide as much accessibility as possible while also maintaining public safety. 7:00 PM YOUTH COMMISSION REGULAR MEETING ROLL CALL Present: Absent: Saratoga Youth Commission Agenda – Page 2 of 3 ORAL COMMUNICATIONS ON NON-AGENDIZED ITEMS Any member of the public may address the Youth Commission for up to three (3) minutes on matters not on the Agenda. The law generally prohibits the Youth Commission from discussing or taking action on such items. However, the Youth Commission can schedule the item for discussion at a future meeting. AGENDA ITEMS: 1. Youth Commission Minutes Recommended Action: Review and approve the minutes from the December 8, 2020 meeting. 2. Treasurer Report and Fundraising Recommended Action: Receive report from the Youth Commission Treasurer. 3. YouTube Subcommittee Report Recommended Action: Receive updates from the YouTube Subcommittee. YouTube Series: Nivi, Jacob, Aria. 4. Inclusion Subcommittee Report Recommended Action: Receive updates from the Inclusion Subcommittee. Inclusion: Nicole, Nicita, Carolyn, Cameron. 5. Holiday Subcommittee Report Recommended Action: Receive updates from the Holiday Subcommittee. Holiday Subcommittee: Michelle, Alex, Timothy, Linnea. 6. Color Dash Discussion Recommended Action: Discuss alternatives for Color Dash community event and/or fundraiser. 7. SED Talks: Entrepreneurship Recommended Action: Discuss potential speakers for the SED Talks Spring event. 8. Future Agenda Items Recommended Action: Consider agenda items for upcoming meetings. SED Talks Recap Recommended Action: Review and debrief the SED Talks event. What went well? What could have made it better? ● What went well: ○ Speakers were very organized in their speeches ○ Commissioners asked many questions ● What could have made it better: ○ Marketing the event earlier and more rigorously ○ Encouraging attendees to ask more questions 3. Treasurer Report and Fundraising Recommended Action: Receive any updates from the Youth Commission Treasurer. ● GoFundMe fundraising ○ Fundraiser is all set up; begin promoting on personal and city channels ○ The Saratoga Rotary Club approved a grant of $450 by next year ○ Each subcommittee to send their events and potential expenses ○ Lauren to share out fundraising efforts and holiday craft social on city communication channels ○ Look into posting physical flyers around the area ● Holiday subcommittee fundraising ○ Subcommittee to further discuss boba kit fundraising 4. Youth Commission Subcommittees Recommended Action: Receive updates from the three subcommittees. Holiday Subcommittee: Michelle, Alex, Timothy, Linnea. Inclusion: Nicole, Nicita, Carolyn, Cameron. YouTube Series: Nivi, Jacob, Aria. ● Holiday subcommittee ○ Each Commissioner to write around 5 cards to send to the senior center before the holidays ○ Dec. 17th: Commission to send out card making kits to elementary schools for essential workers ■ Healthcare and hospital workers, make cards for teachers in the spring ○ February 17th: plan Random Acts of Kindness activity ○ Cupertino and Campbell YC want a joint effort for creating card kits ○ Youth Commissioners, school clubs can participate as well ○ Commissioners to submit cookbook recipes; encourage friends and parents to contribute ● YouTube subcommittee: ○ Subcommittee to let Lauren know of any potential delays or schedule changes ○ If videos are longer, it may make the downloading process longer; subcommittee to send video to Lauren one or two days before upload ○ Teen recap video: all submissions recorded and cut down Liu motioned to have all commissioners mail or drop several holiday cards to City Hall by December 18 to send to the senior center and car park. Craft Social Zoom Recommended Action: Determine roles for the craft social event on December 19th. ● 2-3:15 p.m. over Zoom ● Have a maximum of 20-25 attendees ● Paper cutout snowflakes, snowflake garlands, and paper mittens ● Make the music quieter, more holiday-themed ● Be aware of language and inclusion (person-first language, inclusivity with ages) ● Make consistent positive feedback ● Possibly assign attendees to specific Commissioners ● If people just want to hang out, make it a safe space to do so ● Have co-hosts mute when necessary Huang motioned to adopt the proposal set forth by the inclusion subcommittee.
