REGULAR MEETING Chair Hao called the Regular Meeting to order at 7:07 PM ROLL CALL PRESENT: Xia, Zhao, Hao, Dharwadkar, Krishna (virtual), Henry (virtual), Chao (virtual), Jing, Kelkar. ABSENT: NONE. EXCUSED: Singh, McCormick. MEMBERS OF THE PUBLIC: Oliver Chen, Julie Chen. AGENDA ITEMS: 1. Youth Commission Minutes Recommended Action: Review and approve the draft minutes from the October 25, 2022 meeting. COMMISSIONER HENRY/COMMISSIONER KELKAR MOVED TO APPROVE THE OCTOBER 25, 2022 MEETING MINUTES. - PASSED 9-0 - AYES: Xia, Zhao, Hao, Dharwadkar, Krishna (virtual), Henry (virtual), Chao (virtual), Jing, Kelkar - NOES: NONE. - ABSTAIN: NONE. - ABSENT: NONE. - EXCUSED: Singh, McCormick. 1. Overview of Tree Lighting & Candy Cane Village Recommended Action: Receive the verbal report overview of the event logistics, event timing and flow, prepare activity supplies as well as simple craft directions. Review and confirm the Commissioners who will attend the Tree Lighting and host the two activity tables at Candy Cane Village. - Blaney Plaza, walk to Chamber of Commerce; Commission will support the Candy Cane Village and Tree Lighting Ceremony (this Friday, 11/25) at 2:45-6:15 p.m. - Commissioner Chao will not be able to the tree lighting - Show up in YC apparel, will be cold (bring layers) Saratoga Youth Commission Minutes – November 22, 2022 – Page 2 of 3 - 3 stations/tables: - 2 ornament crafts - 1 activity (Letters to Santa) - Felt “tree lighting,” decorate felt trees (put candy cane through) - about 2-8 years old - 1 making a paper gingerbread man - Planning for 400 kids 2. Committee Reports Recommended Action: Receive committee reports and updates. Begin committee reports with SED Talks and the Sports Tournament. Provide committees with ideas and direction as requested. All considerations should encompass and reflect the entirety of our youth Saratoga. - SED Talks - Environmentalism (February 4th) - Creative writing (April 22nd) - Discussion of theme/prize/snacks? (ex. post-its) Public Comment: Oliver Chen (Member of Public), suggests to have cookies or donuts as prizes/incentive to bring people to SED Talks CHAIR HAO/COMMISSIONER KELKAR MOVED TO APPROVE THE UPDATED SUBCOMMITTEE FOR THE SPORTS TOURNAMENT (SAKET, JUSTIN, ARJUN, BRYAN, AND OVEE) WITH THE DIRECTION TO BRING BACK INFORMATION AT THE DECEMBER 6, 2022 MEETING. - PASSED 9-0 - AYES: Xia, Zhao, Hao, Dharwadkar, Krishna (virtual), Henry (virtual), Chao (virtual), Jing, Kelkar - NOES: NONE. - ABSTAIN: NONE. - ABSENT: NONE. - EXCUSED: Singh, McCormick. 3. Work Plan 2022/23 Recommended Action: Review the 2022/23 Work Plan and progress to date. Discuss the Commission’s priorities and schedule remaining efforts for the 2022/23 school year for staff to gather additional information, including feasibility, resource needs, and possible implementation timeline, for the Commission to finalize at the December 6, 2022 meeting. Saratoga Youth Commission Minutes – November 22, 2022 – Page 3 of 3 COMMISSION TOOK A MEETING BREAK STARTING AT 8:09 PM AND RESUMING THE MEETING AT 8:20 PM. 4. 2023 Meeting Schedule Recommended Action: Review the 2023 meeting schedule and make adjustments as needed. - Secondary meeting in March (depends on subcommittee) could be considered if needed. 5. Fitness Challenge Recommended Action: Discuss options for the fitness challenge in the Spring of 2023. Determine the direction and fitness challenge format that would be the most feasible considering Commissioners’ schedule, resources, and the provided timelines. The Commission should consid er upcoming school testing dates, other Commission commitments and to ensure a successful event that will be safe and fun for all. CHAIR HAO/COMMISSIONER ZHAO MOVED TO HOST THE COLOR DASH AS THE FITNESS CHALLENGE, SET ASIDE TIME FOR SUBCOMMITTEE PLANNING AND SCHEDULE A JANUARY SPECIAL MEETING DURING THE DECEMBER 6, 2022 MEETING. - PASSED 7-1-1 - AYES: Zhao, Hao, Dharwadkar, Henry (virtual), Chao (virtual), Jing, Kelkar - NOES: Xia. - ABSTAIN: Krishna (virtual). - ABSENT: NONE. - EXCUSED: Singh, McCormick. 6. Future Agenda Items Recommended Action: Review the agenda planner and consider agenda items for upcoming meetings. The next Youth Commission meeting is scheduled for December 6, 2022. - Treasurer/Marketing Chair reports - Sports tournament subcommittee report - Color dash planning - January special meeting date options - SED Talks subcommittee report CHAIR HAO ADJOURNED THE MEETING AT 9:24 PM.
