SARATOGA YOUTH COMMISSION
7:00 P.M. GENERAL MEETING
Chair Xia called the General Meeting to order at 7:01 PM

AGENDA ITEMS:
1.Youth Commission Minutes
Recommended Action:
Review and approve the minutes from the February 24, 2026 meeting
Commissioners reviewed the 2/24/26 meeting minutes. Commissioners pointed out
slight formatting errors, after which Commissioner Xia motioned to approve and
Commissioner Fugman seconded the motion.
2. Recap Past Events
Recommended Action:
Debrief Farmers’ Market, Lunar New Year, & St. Paddy’s Day; share feedback on what
went well, what could have been improved, and overall thoughts
Commissioner Lee states that the Farmers’ Market event with BSU was very successful,
and Commissioner Agarwal emphasizes that people enjoyed the stickers at the Lunar
New Year event. Commissioner Chiu discusses how most people didn’t stay long enough
to create the whole craft at the Lunar New Year event. She suggests that the crafts should
be made simpler. Commissioner Xia expresses the concern that the Youth Commission’s
booth was “hidden in the corner” at the Lunar New Year event, and that the crafts at the
St. Paddy’s Day events were a bit too complicated. The commission discusses a Youth
Commission generalized craft to put on at each booth regardless of the event. In order
to prevent the Youth Commission tablecloth from getting dirty, Commissioner Lee
suggests the use of a plastic covering. Commissioner Agarwal suggests booth decorations
with the theme of trees. Commissioner Miin expands upon this by suggesting the
possibility of having balloon weight decorations. Jocelyn Binn emphasizes better
communication, especially for ordering items and avoiding last-minute questions about
chaperoning, etc. The Youth Commission discusses hard deadlines and documentation
to improve communication. The SED Talks subcommittee discusses communication
barriers over email.
3. Discuss Future Events
Recommended Action:
Blossom Festival, year-end presentation, end of year activity; review agenda planner
Commissioner Xia states that the Blossom Festival is going to take place on 6/13. The
commission discusses availability for the event, along with “scratchy” paper and paper
weights for the booth activity. Additionally, for the year-end presentation on June 3rd,
Commissioner Xia explains the logistics for creating slides and presenting them to the
City officials. The commission decides that the first week of June is the most optimal time
for the end of year activity. Ideas include trampoline park, water park, mini golf, escape
room, etc. Administrative Analyst Binn discusses with Chair Xia and Vice Chair Fugman
about upcoming interview dates for Youth Commission applicants.
4. Discuss Subcommittees and Reports/Memo
Recommended Action:
Farmers’ Market, Bingo Night, SED Talks, Coffeehouse, & Parks and Recreation Hike,
Movie Night
Commissioner Chiu discusses the dress rehearsal for SED Talks, and requests for
volunteers from the Youth Commission to attend to help out. Commissioner Anand
offers to attend. Vice Chair Fugman recommends that TAB should be informed to attend
and help out with the SED Talks event as well. For the Parks & Recreation Hike,
Commissioners Anand and Xia discuss doing a test run of the trail in which the warm-up
yoga and I-Spy activities would be considered. Commissioner Anand also informs the
group that flyers for the event have been created. Commissioner Agarwal discusses the
next Farmers’ Market event, and potentially having Nikhil Bawa from Cultural
Connections hold a collaborative booth. The date for the event is currently tentative due
to conflicting events. Future discussions involve a general Youth Commission activity for
these booths. Lastly, Commissioner Jain discusses the Coffeehouse event, and states that
they are planning to meet with TAB again in the future. Commissioner Lee discusses the
4/17 Bingo Night event and expresses concern about Sam’s unresponsiveness. The
commission further discusses potential trivia events to connect the youth and seniors,
including Jeopardy. The movie night event will take place on June 12th, and the finalized
movies are Elio, Zootopia 2, and one more. Ms. Jocelyn Binn suggests that the Youth
Commission booth at the movie night involve food donations of canned goods for charity.
5. Saratoga Youth Engagement Survey
Recommended Action:
Explore the opportunity to develop a survey to better understand the needs and
perspectives of Saratoga youth
Commissioner Xia suggests the release of a survey in which data can be collected about
various concerns that the youth of Saratoga face day to day. This way, it would be easier
to address such issues. Commissioners discuss the possibilities of sending this form out
through school-specific outreach systems or popular teenage hangout spots like
Starbucks.
6. Youth Commission Apparel
Recommended Action:
Receive updates on apparel
The commissioners receive their apparel.
7. Marketing Chair Report
Recommended Action:
Receive report from Co-Marketing Chairs
Commissioner Chiu states that the graphic for SED Talks has been posted and that the
flyer for the Community Hike will be posted as well, as soon as it is approved.
8. Treasurer Report
Recommended Action:
Receive report from Treasurer
Commissioner Jain states that $45.44 was spent between the last commission meeting
and now. $1566.35 is remaining in the account. Chair Xia encourages the commission to
spend more on future events, as the commission tends to spend a lot less than the
allocated amount.
9. City Report
Recommended Action:
Receive report from staff of City updates and review attendance and participation and
parent chaperones
Ms. Jocelyn Binn informs the commission of upcoming events within the city.
