Call to Order 7:04 2. Roll Call: Arunkumar, Baker, Brown, Burke, Byrne, El-Diwany, Gupta, Maltiel, Pramanik, Rezaii, Schwartz, Sclavos, Shepherd, Wu. All present. 3. Report on Posting of the Agenda: Pursuant to Government Code Section 54954.2, the agenda for this meeting was properly posted on October 6, 2004. 4. Accept Agenda Items and Order: No additional items maybe added pursuant to Government Code Section 54954.2 5. Approval of September Minutes A. Motion by Rezaii B. Second by Byrne C. All in favor 6. Oral and Written Communication Any member of the public may address the Commission about any matter not on the agenda for this meeting for up to three minutes. Stricter check of IDs needed a. Students with notes were allowed into the dance b. Notes provide no indication of grade nor school iv. Concern of whether or not students remain inside the dance v. Rumors of Drugs vi. Stricter Supervision Needed of Center Group on Dance Floor B. Suggestions from Public i. Train Parents and Chaperones a. Specific Definition of what is freaking b. Instruction on how to stop freaking ii. Signs with Rules and Expectations iii. Send Children Home for Freaking after first warning iv. Decrease in attendance would not occur because other children would feel comfortable to come (ex: sixth graders) v. Parents are willing to volunteer as chaperones vi. Security Guard Old Business A. Net Profit: $500 D. 9/17 Concert Report a. Attendance - 97 people b. Revenue - $350 ii. Evaluation iii. New Policies Needed? a. Ask people if they live or go to school in Saratoga and which band they came to see. - To show that the YC serves the Saratoga Community - Helps Predict size of the crowd at the next concert b. Police are called if minors are found under the influence - Vote: All in favor except one c. Other Substance Policies (under consideration) - Offenders should not be permitted to the next concert - Police Officer Eileen advised: Regardless of age, if anyone is found under the influence, police should be called. YC'ers should not take it upon themselves. - All problems, no matter how minor, must be reported to chaperones. YC'ers will be introduced to chaperones so that they know who they are. - No smoking will be permitted on WHH grounds, which will be indicated in the future by signs d. Based on the next show, the YC will decide if the police are needed to stay at the entire show or check up once an hour. e. Only High School Students will be allowed. Students that are allowed must be specially okayed by Adam. E. Dance i. Update on figures a. Profit: $743 b. Attendance: 278 ii. Evaluation a. DJ Paul - Good Comments from Students - $50 Cheaper than DJ Jim - Polite, Professional, Easy to Work with iii. New Policies a. Increase cost? No b. Role of the chaperone (see communication from public) c. Dress Code/ Freaking enforcement - Post 2 Sheets of Rules at the dance: one for the freaking policy and one for dress code d. ID dilemma - Notes are acceptable - In the future, Adam will check IDs. e. Breaking Up Center Group - YC conga line through crowd £ Have police officer do loop around at pick up and drop off time iv. Maltiel: Disney animator, Earthquakes players d. Byrne: Retired Baseball player e. Burke: Steve Mariuchi £ Gupta: Pixar animator g. Pramanik: Kerry Welsh h. Baker: Jeff Hawkins (creator of palm pilot) B. Dance - (Sclavos, El-Diwany) C. Concerts - (Brown, Maltiel) i. Nov. 19 and Dec. 10 need bands D. Fundraisers - (Wu, Arunkumar) i. At least one junior high and one high school trip a. First trip -January 29 - Only open to residents of Saratoga - Held at Alpine Resort ii. Trip Specifics a. 1 Day Trip b. Be at WHH at 5:00 am c. Return to WHH at 9:00-10:00 pm d. 4 chaperones e. Both genders permitted f. Two check-ins for junior high students; one check-in for high school students iii. YC Profit: $12-$13 per person G.
