Givens Absent: 0ommimsioner Kvsmme S. LandsheSS passed out a working copy of her first draft of the 198B Home Tour invitation. It was agreed that Fox & Carskadon's request for a full 1/2 in. Margin for their name at the bottom is o.k., but that to put their phone number on thim also would be too commercial looking and that we had never intended to mall advertising space on this invitation. S. LandsheSS said that for $1,000.00, we should comply with their wishes, but usually someone purchasing ~pace of thim sort provides their own art and avoids the confusion that has prevailed with this particular ad. They also have requemted that it read Realform, not Realty, We would, of course, put the phone number in the booklet. Wording was worked on and simplified. The mmin goal is clarity and to avoid promising things we cannot follow through on, S. McArthur amked If i~ was alriQht if Composite ~rts worked on the layout. That was fine with S. LandsheSS. N. Koepernik then asked if we were planning to provide comp. tickets for all donors and could he provide them to the donors of the wine with a letter of appreciation he had written up for tax purposes. It was agreed that any donor would get comp. tickets along with City Council, City Manager, Diana Lewis, Yuchuek Hsla and Kathy Kardum. B. Voemter passed out a couple of copies of the histories of the major homes featured on the tour. The booklet committee (W. Held, S. Landsnemm, B. Voester) will only use the most pertinent of historic facts and leave the rest in the hands of the docentm. Betsy also passed around an old copy of a history of Madronia Cemetery she had found in the History Center archives. S. McArthur maid that the Cemetery Board will be sending us some literature on it also. It was suggested that we could purchase the already published Tour Map on sale at the Historical Museum. W. Heid said that this would be a very diplomatic move on our part but how many did we need. Two thousand was Heritage Minutes, 2/13/80 Page 2 suggested and he said he would ask but that he doubted very much whether they had produced even half that number, We had better do our own. W. Heid said that he has hired a new drafting expert in his office, and that he thought she would be able to produce a very clever Walking Tour Map. He was given an old copy of a iS year old walking tour of Saratoga to use as a ~tart, however, it was noted that a sadly high number of historic structures were now ~one. It was also brought up that we will probably be responsible for purchasing a one-day insurance policy and that we would split the $1,000.00 cost. Janet and R. Cameron had discussed this with the City Manager, Harry Peacock. It was also decided that R. Cameron would be the one to track down more suitable carpet runners then the ones we used last year. It was suggested that we invest in a better quality and reuse them in the future. It was suggested that we need to decide where to serve the refreshments. It was decided that any o¢ the private areas would be be~t. Probably in the gardens of Villa Deodora,..it is then easier to keep out non-paying guests and it has a better atmosphere. There was a discussion regarding publicity. S. Landsnasa has had the Chamber of Commerce put notification in their calendar and S. McArthur got copy on the event to Sunset Magazine. It was suggested that perhaps Marion Card might be willing to do it again this year. S. LandsheSS, noting the need for local merchant support this year, with m walking tour right down the center of the Village, reported that she went to a Village Merchant Assn. meeting last Tuesday and passed out a letter and map explaining the event, asking the Merchants to stay open for meals and shopping. She reported a good deal of vocal support and said that we need to persist and remind them to get involved. She also read a letter written to all past and present volunteers in Saratoga asking for their time as docen~s or servers. H. Elisberg said that they were already calling. ~ga~n, regarding Fox and Carskadon Realtors, they understandably dislike the idea of their name being cut off with the ticket order. It was unanimously agreed that the entire ordering process would be reworked to avoid the suggestion that people were to cut up the invitation to send in for their tickets. The Meeting was adjourned at 5:30 p.M. and it was agreed that it would be reconvened on March 1Bib <mr the Library again> after the invitations had been mailed out.
