City Clerk AGENDA ITEM V CITY MGR. g4ji j,1,Aj jjj SUBJECT: PUBLICITY FOR TOWN HALL MEETINGS AND DIRECT CONTACT Recommended Action: Direct staff as to extent of publicity desired. Possibilities are: paid advertisements in the Saratoga News, unpaid press releases in the Saratoga News, notice on KSAR, notice in The Saratogan, and notification of Community Group List. Confirm whether Town Hall meetings and Direct Contact will be regular enough to publicize well in advance. Report Summary: The City Council requested that the first Town Hall meeting, held January 7, be well publicized. Staff therefore notified the Community Group list, placed a notice on KSAR, and published in the Saratoga News a half -page ad which cost $424.00. If an ad is published for each meeting, and the meetings are held quarterly, the cost would be about $1700 for the year. Such an expenditure would require a budget allocation. An inexpensive alternative to a Saratoga News ad would be a notice in The Saratogan, which, of course, reaches all households in the City. 'The next Saratogan will be published the first week of April, which would be too late if the next town hall meeting is held April 1. Staff requests direction as to publicity desired for these events. Fiscal Impacts: Total of about $1700 for FY 1994 -95 if maximum publicity is requested. Follow Up Actions: If maximum publicity is requested, a budget resolution would be prepared. Consequences of Not Acting on the Recommended Motions: If paid publicity is desired but funds are not allocated, other items must be cut from the budget.. If only unpaid publicity is desired, staff will proceed. I
