HomeMy WebLinkAbout07-08-2014 PRC Agenda City of Saratoga Parks and Recreation Commission Regular Meeting AGENDA DATE: Tuesday, July 8, 2014 TIME: 6:30 p.m. – 9:00 p.m. LOCATION: Administrative Conference Room 13777 Fruitvale Avenue Saratoga, CA 95070 Call to Order Roll Call Commissioners: Ping Li, Renee Paquier, Rick Pearce, Pallavi Sharma, Terry Ward Report on Posting of the Agenda: Pursuant to Government Code Section 54954.2, this meeting was properly posted on July 2, 2014. Oral & Written Communication: Any member of the public may address the Commission about any matter not on the agenda for this meeting for up three minutes. Commissioners may not comment on the matter, but may choose to place the topic on a future agenda. Approval of Draft Parks and Recreation Commission (PRC) Minutes: - May 13, 2014 Old Business: 1. Let’s Walk Saratoga! Issue: Since 2012, the Parks and Recreation Commission has led 3 guided park tours in Saratoga. The Guided tours have been given at Joe’s Trail, Villa Montalvo, and Fremont Older. At the Joint Meeting with Council in September 2013, Council Member Miller expressed an interest in conducting more tours of the Saratoga Quarry via the PRC Let’s Walk Program. At the January 14, 2014 Parks and Recreation Commission meeting, Commissioner Li expressed interest in conducting a guided walk on the first Saturday of every month. Council Member Miller volunteered to help guide the first few walks at the Saratoga Quarry Park. Commissioner Li has guided a total of 3 walks at the Quarry and will report on the July 5th guided Quarry walk. Action: Discuss and plan details of future guided walk events. 2. Outdoor Summer Movie Nights Issue: On Friday, June 20, the Parks and Recreation Commission hosted its first movie night. There were various sponsors of the event. Starbucks provided coffee, Roku provided hot chocolate, Rose Donuts provided donut holes, Gene’s market provided a meat platter, Primary Plus provided popcorn and Dottie the Clown provided balloon entertainment. Commissioners should discuss the positives and challenges of the first movie night and discuss the logistics of the next movie night event. At the May 13 meeting, Commissioner Li volunteered to pick up the Starbucks items and Gene’s Market, and Commissioner Pearce volunteered to pick up the Rose Donuts items for the July 18th event. For the August 15th movie, Commissioner Sharma volunteered to pick up the Starbucks items and the Gene’s Market items. Commissioner Pearce volunteered to pick up the Rose Donuts items. Next Movie Events  7/18 Avengers  8/15, Despicable Me 2 Action: Discuss sponsorships, event tables, and logistics for the July 18th outdoor movie event. New Business 3. Movie Night Sponsorship Program Issue: The Parks and Recreation Commission has received various sponsorship/donations over the years from community members. Beginning in 2013, the Commission increased business sponsorship. This year, at its July 2nd Council Meeting, the City Council approved a proposal from Roku, Inc. to pay for the July movie night expenses in exchange for some name recognition during the event. As community sponsorship evolves, the PRC may want to consider developing a Movie Night sponsorship program to help guide future sponsorship of the events. This outdoor movie night sponsorship program may need to be approved for Council. Action: Discuss the possibility of developing a Movie Night sponsorship program with criteria and parameters that will be used by the City for movie nights. 4. Reschedule or cancel November 11th meeting due to Veteran’s Day holiday. Issue: The November Parks and Recreation Commission regular meeting is currently scheduled for November 11, 2014, which is Veteran’s Day, a City of Saratoga observed holiday. The Commission may choose to reschedule or cancel the November meeting. Action: Vote to reschedule or cancel the November 11, 2014 meeting.
