Regular Meeting
Minutes

Call to Order 6:40 p.m.
Present: Rick Pearce, Ping Li, Renee Paquier, Pallavi Sharma, Terry Ward
Absent: NONE
Accept Agenda Items:
On a motion by Paquier, seconded by Sharma, the agenda was accepted with no additional items added.
Oral & Written Communication:
There was no communication from the public. Sharma complimented staff on the selection of pizza for the
meeting. Ward commended Adam on a job well done while he was the PRC liaison.
Approval of Draft January 10, 2017 Parks and Recreation Commission (PRC) Minutes:
On a motion by Paquier, seconded by Li, the minutes of the January 10, 2017 meeting were approved.
Old Business:
1. Age-friendly cities
Ward and Pearce attended the February 21, 2017 meeting on behalf of the PRC, and summarized the
items of interest. For active seniors, various walking groups that meet and end at a city park can be
planned, primarily leaving from and ending back at SASCC. For less active seniors, using a GoPro camera,
film the parks and display the video to less mobile seniors. See if a student from a WVC Department (e.g.
Parks Management) might be interested in filming at Quito Park and processing the video (with titles
and narration).Paquier offered to present the results at the next PRC meeting. Pearce also stated that a
daytime monthly movie could be shown on Wednesdays after the SASCC luncheon at the Civic Theater.
2. Work Plan
Discussion revolved around a work plan for the PRC to be involved in the March 18, 2017 Blossom
Festival. The PRC will staff an informational table with fliers and brochures, etc. Staff will have City
pencils available for giveaways and make copies of assorted fliers to distribute. Li will bring the PRC
banner. Staff will also set up a Doodle schedule so Commissioners can sign up for times to volunteer.
3. Movie Night
Commissioners discussed the action plan for the June 16th movie and decided to limit food distribution to
only coffee, hot chocolate, and donut holes. Paquier will contact Starbucks and Pearce will contact Rose’s
for donut holes.

Staff will contact the local CERT group to possibly provide pedestrian control across Cox Avenue. Staff will
also contact Dottie the Clown at getdottie.com (408-365-0136) to perform just prior to the movie. It was
agreed to allow Playwell TEKnologies to set up a table at the event to promote their summer camps and
to provide the children a play area using Playwell’s Legos and robotic materials. The 501st Legion (Star
Wars characters) has already been invited to participate again this year.
The Commissioners will contact various businesses in the Quito Village about offering “movie meals” for
the July 21, 2017 movie night, but there are restrictions on selling food (or any goods or services) in the
parks. It is desired to have Gene’s, Ruby’s, and 2-2 Sushi set up tables in front of their businesses or in the
Quito parking lot so people can purchase meals or snacks before the movie.
4. Volunteer Work at Quarry
Li informed the Commission that the February Let’s Work drew over 30 volunteers, but the French Broom
is beginning to overtake the trails and requires a lot of attention. Staff agreed to send copies of the City
Council newsletter whenever photos of the Let’s Work event are used. Staff will also see if Council would
recognize all of the Let’s Work volunteers at the July 5th meeting with a Parks & Rec Month Proclamation.
The Commission agreed to host a “Kids to Parks Day” on Saturday, May 20, 2017 at Quito Park. Council
will present a proclamation at the May 17th Council meeting. Commissioner Li will lead a guided
hike/tour for the kids. The Commission also requested that staff invite Howard Miller to join the event to
help “docent” the tour. Staff will prepare a flier for the event.
5. City Parks and Project Update
There was no report from Public Works director John Cherbone.
Commissioner & Staff Reports:
Staff reminded the Commission of the May 31, 2017 Commissioner Recognition Dinner at Hakone. Also,
Taylor mentioned that the State of the City will be April 15 at 2:00 p.m. in the Theater, Arbor Day will be
May 1 at Madrona Cemetery, and the Commission Recognition Dinner will be on May 31 at 6:00 p.m. at
Hakone Gardens. Taylor also mentioned that this will be his last meeting as Commission liaison.
Beginning July 1, the staff liaison for the Parks and Recreation Commission will be Dylan Davis.

During commissioner reports, Li reported that the drinking fountain at Wildwood Park was not working
and that there was some chalk graffiti on the restroom doors. Paquier mentioned that the grown-up
soccer group is using foul language, and being generally rude at El Quito. She also mentioned that the
drinking fountain there was also broken. Pearce reported out that all of the parks look great after the
rains. Sharma also stated that the parks all look great. Ward also complimented the condition of the
parks, but complained about the lack of shade in all of the playgrounds, especially at Azule. Staff will
forward those messages to the Parks Department.
