Meeting Minutes

1. Call to Order – 12:10 p.m.
2. Roll Call:
Present: Iyengar, Lemmon, Lucas, McBane Mulford
Staff and Liaisons: Melinda Cervantes, Peggy Baker,

Absent: Khan
3. Report on Posting of the Agenda: Pursuant to Government Code Section
54954.2, the agenda for this meeting was properly posted on October 19, 2009.
4. Accept Agenda Items & Order: No additional items may be added pursuant to
Government Code Section 54954.2.
5. Approval of Minutes

6. Oral & Written Communications: Any member of the public may address the
Commission about any matter not on the agenda for this meeting for up to three
minutes. Commissioners may not comment on the matter, but may choose to
place the topic on a future agenda.
Staff liaison Powell noted that Council member Jill Hunter is interested in
providing more community visibility/education about the Library. Powell
mentioned it may be possible to include a feature article in the next Saratogan
publication, which is prepared and distributed by the City.
Commissioners and Library staff agreed this would be a good idea. Powell will
speak about this idea with Crystal Morrow, the staff member who writes the
Saratogan.
7. Old Business
A. Building Maintenance Update
Thomas Scott provided an update on completed and ongoing facility
projects, which was included in the agenda packet.
B. Library HVAC Project Update
Barbara Powell provided a little more information about the Library HVAC
Control Project, which is slated to begin on November 2, 2009.

8. New Business
A. Library Traffic Issues
Powell reported on ongoing efforts by the City, in partnership with the Library, to
deal with traffic issues in the parking lot. Unfortunately, the parking lot
configuration is not ideal, and there are limited options for improving the drop‐
off/pick‐up congestion. The City will be installing some new signage, Library staff
will be placing notices on people who use the parking lot for long‐term parking,
and the Sheriff’s Office will provide periodic patrol and may ticket people who
have been warned not to park long‐term.
Commissioners inquired whether it might be possible for KSAR to film the Library
parking lot traffic as a means to educate people about the problems. Powell will
follow‐up with KSAR to find out if this is possible.
9. Reports (this section is informational only; no actions will be taken)
A. Melinda Cervantes, County Librarian reported the Library has begun having a
companion book program for children and parents to participate. Two new
companion books include Tops and Bottoms by Janet Stevens and Seed Folks
by Paul Fleischman. Melinda also noted that Michael Pollan will be making
one appearance at the Santa Clara County Library System on January 27,
2010. The City of Gilroy will be closing its library on December 1st and
relocating to a temporary building with a reopening scheduled for mid‐
January. The new Gilroy library is slated to open in March 2012.
B. Peggy Baker, Children’s Supervising Library, Saratoga Community Librarian
reported they received 26 entries for the Peace Poster Contest and will be
sending one entry to the International Peace Poster competition. She also
referenced the written report provided by Barbara Morrow Williams,
Community Librarian, who was not able to attend the Commission meeting.
C. Judy Johnstone with the Friends of the Saratoga Libraries was not able to
attend the meeting.
D. Anya Iyengar, Chair spoke about a vision for the Library Commission and
asked for input from other Commissioners.
Lemmon mentioned she had recently attended three events in Saratoga
at which she wore her Library Commissioner badge. She felt the City’s
Commission Recognition event was rewarding. She also noted the
Friends are preparing for a Library Open House to stimulate membership.
McBane Mulford noted a vision for the Commission may come from
identifying personal interests/strengths of the Commissioners and
aligning them with specific projects/programs.
