Special Meeting Minutes

1. Call to Order – 10:15 a.m.
2. Roll Call:

3. Report on Posting of the Agenda: Pursuant to Government Code Section
54954.2, the agenda for this meeting was properly posted on November 25,
2009.
4. Accept Agenda Items & Order: No additional items may be added pursuant to
Government Code Section 54954.2.

6. Oral & Written Communications: Any member of the public may address the
Commission about any matter not on the agenda for this meeting for up to three
minutes. Commissioners may not comment on the matter, but may choose to
place the topic on a future agenda.

7. Old Business
A. Building Maintenance Update
Barbara Powell provided an update on the Library HVAC controls system
project, which has been completed. Barbara Morrow Williams commented
that the overall Library temperature is more consistent and there don’t
appear to be hot and cold spots.
8. New Business
Commissioners decided to postpone discussion of the New Business items and to
reschedule them for the next Library Commission meeting, in anticipation of
more Commissioners being present.
9. Reports (this section is informational only; no actions will be taken)
A. Barbara Morrow Williams, Saratoga Librarian provided a report for Derek
Wolfgram, who was not able to attend the meeting.
The community survey of area residents without library cards began on Monday,
November 30 to identify elements of library service that could entice these individuals
to use the Library.
Adam Gay, Director of Consulting Services and Sandra Swanson, President and Co‐
owner of Orange Boy, Inc. (the firm conducting the survey) will be the speakers at the
6th Annual Friends and Commissioners Forum on Saturday, January 30, from 8:30 am to
noon at Santa Clara County Library Administration Offices, 14600 Winchester Blvd. in
Los Gatos
The Library will be launching an improved version of the online library catalog on
December 7. A sneak peek is available online now at
http://www.santaclaracountylib.org/catalog/about.html. In addition to the information
that has always been provided, the new interface provides the ability for users to read
and add customer ratings, create lists, share recommendations with friends, browse the
covers of books on library shelves to find out which items are nearby, and much more.
The RFID project continues to move along ahead of schedule, with Los Altos piloting the
new self‐check equipment, while the majority of the collections at Morgan Hill and
Milpitas are also tagged, and Gilroy tagging is underway.
The Gilroy Library’s last day of service in its current building was December 1. The
Library anticipates moving into a new temporary facility in January while demolition of
the old building and construction of the new library take place over the next two years.
The next meeting of the Library JPA Board will be January 28 at 1:30 pm at the Library
Administration Offices.
B. Barbara Morrow Williams also presented a report on upcoming activities at
the Saratoga Library, including:

Special Events
Saratoga Library hosted the Muku‐Shi Japan‐ Saratoga Sister City visit on November 7.
Nearly 150 people, including delegates from the Japanese Sister City and its Mayor Kushida
toured the library and gave the library books and art work. Many of the delegates visited the
library several years ago when it was under construction.
Community Librarian Barbara Williams and Takako Gulino (the Saratoga Library staff
member who provided brilliant on‐the‐spot translations) accepted the gifts for Saratoga
Library. The art work hangs in the Library’s Quiet Study Room above the Muku‐Shi Collection.
The books will be catalogued and incorporated into the adult and children’s language
collections or added to the Muku‐Shi Collection.
Foothill Elementary School children created art work which Mayor Kushida carried back to
Japan in exchange for art work created by Muku‐Shi children which now hangs in Foothill
Elementary School.
Programs
Book Discussion Group, Mondays at 7:30 pm; 12/7: Mountains beyond Mountains (Kidder)
December 10 at 2 pm, Arts Lecture series: Holidays Fine Arts Museums of San Francisco
Docent, Kay Payne, will look at how works of art reflect the joy, beauty, and traditions of the
season.
Special Concert in the Lobby
Chinese ErHu Orchestra, Sunday December 13: For a second year, the ErHu Orchestra made
up of local musicians will play their annual Holiday Music concert in the Library Lobby from 2‐
3:30 pm.
Another Star Party at the Saratoga Library!
Far end of the Library Parking Lot and the Community Room, Monday December 21, 2009, 6‐

at 408 867‐6126 after 1 pm for a weather status update)
The Saratoga Library is pleased to welcome the San Jose Astronomical Society for a star
party. Come look through high and low power telescopes at the night sky.
English Conversation Group—for those interested in polishing their conversational skills sign
up at the Adult Reference desk or just drop in Thursday nights 7:00 pm or Friday morning,
10:30 am. Kelly McKean and Matt Lorenzo are staff facilitators working with volunteer co‐
facilitators.
Teen Area
Teens’ holiday programming includes
Outreach activities with hospitalized teens
Holiday Beads Ornament craft (adults are invited, too!) 12/19, 2 pm
Movie matinees, 2 pm. 12/ 23, 29th & 30th
Holiday Card Service project—on‐going afterschool drop‐in
Computer Skills Tutoring is now a drop‐in program. Learn how to use the mouse and
keyboard, search the Internet, type a letter, e‐mail…and more!! When? Visit them on the 2nd
& 4th Thursdays at 4pm in the Training Room.
Children’s Area
“Christmas with Josefina” an American Girl Book Club based on the books by Valerie Tripp
with activities including book discussions, crafts, treats, and activities about Christmas as
celebrated in the American Southwest.
Wednesday December 9 at 3:45 pm and
Wednesday, December 16 at 3:45 pm.
Magic by Alex Wednesday December 16th at 7:30 pm, Alex Ramon, currently performing in
Zing Zang Zoom, a Ringling Bros. and Barnum & Bailey Production, brings his magic act to
Saratoga Library. Join us for a family fun‐filled evening!
Tuesday, December 22 at 7:30 pm: The Fratello Marionettes presents the spectacular North
Pole Review! Bring the whole family to enjoy this festive show (which will take the place of
Family Story time that evening.)
Don’t forget story hours!
Regularly scheduled story hours continue with schedules posted on our website and on flyers
in the children’s area for Tuesdays @ 7:30 pm (Family), Wednesday @10:30 am (Toddler) &
Thursdays at 10:30 am (Preschool).
C. Judy Johnstone with the Friends of the Saratoga Libraries provided a brief
history of the Book Go Round, where the Commission meeting took place. In
1927, the Book Go Round was constructed on donated land. Initially, it was
owned by the School District, as Saratoga was not yet incorporated as a city.
The Book Go Round served as the City library until 1981, when the new
library was built.
The Friends of the Saratoga libraries was formed in 1972. It currently has
between 1,200‐1,300 members. Over the past 15 years, the Friends have
raised approximately $1.35 million, which has been donated to the library for
operational and improvement needs.
Terrie Creamer spoke about the Friends’ membership and distributed a
recently completed brochure for the Friends.
D. Anya Iyengar, Chair spoke about upcoming opportunities for Commissioners
to be involved with library‐related events including:
January 28th – Library JPA Board meeting, 14600 Winchester, Los Gatos,
1:30 p.m.
January 29th – Day in the District
January 30th – Friends & Commissioners Forum, 14600 Winchester, Los
Gatos, 8:30 a.m. to Noon
February 6th – California Library Association Meeting, 14600 Winchester,
Los Gatos, 8:30 a.m. to 12:30 p.m.
Chair Iyengar also noted that she had recently discussed issues related to
visibility of the Library and its programs with Council member Hunter. One
idea that was discussed is to install a barometer outside the library to
generate more awareness and more applications for library cards. A
suggestion was made that high school students might be able to create the
barometer. Barbara Morrow Williams suggested working with Lisa Pirlot,
Teen Librarian, on this idea.
10. Other Issues
Commissioner Khan noted that he had heard Barbara Morrow Williams would be
leaving the Saratoga Library to take a position in Monterey Park, California. Ms.
Morrow Williams confirmed this was true and noted her last day would be
around December 24th. Ms. Morrow Williams stated she had started with
Saratoga on January 7, 2008, so it would be just about two years that she will
have worked for the Saratoga Library.
