Regular Meeting
Minutes
DATE: Tuesday, May 16, 2017

Call to Order – The meeting was called to order at 6:35 p.m.
Commissioners Present: Renee Paquier, Rick Pearce, Pallavi Sharma, Terry Ward, Ping Li
Commissioners Absent: None.
Guests: None.
Report on Posting of the Agenda: Pursuant to Government Code Section 54954.2, this meeting was
properly posted on May 12, 2017.
Accept Agenda Items: The agenda was accepted and no additional items were added pursuant to
Government Code Section 54954.2.
Oral & Written Communication: No public comment or correspondence.
Approval of Draft Parks and Recreation Commission (PRC) Minutes: The March 14, 2017 meeting
minutes were approved on a motion by Paquier, seconded by Ward.
Agenda:
1. Age-friendly Cities Update
This month’s Age Friendly City meeting scheduled for the day before was cancelled.
Commissioners Pearce and Ward are trying to get permission to use drones in parks to augment
the film on ground (Quarry and El Quito). Staff will investigate and report back. They are also
trying to get West Valley College involved in the making of videos. The college wants clear
details on what the commission needs from them. The City has offered to assist with video
editing once the project is filmed.
There are ongoing efforts to find transportation for people to get to parks (targeting older
population).
2. Work Plan Update
Discussion on the Commission Work Plan was postponed to next meeting.

3. Volunteer Work at Quarry
Commissioner Li reported that only 3 volunteers worked last Saturday, (5/13/17). With the
ground already starting to dry out and harden, Ping suggested not having any more work days
at the Quarry until summer is over. The group discussed why volunteer attendance would
fluctuate through the year. It was determined that the schools had a big part to do with it.
All “Let’s Work” volunteers will be recognized at the May 17 City Council meeting. No action
was taken.
4. Kids to Parks Day
Commissioner Li will be the primary; all other Commissioners said they will do their best to
make it to the City Council meeting at 7:00 p.m. on May 17 to accept a proclamation for the
National Parks Trust ”Kids to Parks Day” on May 20 from 9:00 a.m. to noon.
5. Movie Nights
Discussion about Intero’s involvement in the event. Michael will update the Commission via
email when he returns. Commissioner Sharma is talking to Gene’s, Paquier confirmed
Starbucks will donate, and Pearce confirmed Rose Donuts will donate. Commission wants to
add a small Recognition Ceremony, to each movie night, for a person/company who donates to
Movie Night.
Staff was asked to see what is required for the Commission to bring in outside vendor(s) to
serve food in the park. Staff will provide information at the next meeting.
6. Commissioner Recognition Dinner
The Commissioners all acknowledged they needed to RSVP for the Annual Commissioner
Recognition Dinner on May 31, 2017.
7. Parks and Recreation Month
Commissioners Pearce and Sharma will be the primary; all other Commissioners said they will
do their best to make it to the City Council meeting at 7:00 p.m. on July 5, 2017 to accept a
proclamation for National Parks and Recreation Month in July.

Commissioner Li requested that Quarry Park be added to her name.

Commissioner Ward reported that the lack of shade at Azule Park playground is a problem when
children try to use the metal equipment (e.g. slide) and it is so hot it could burn skin. Staff will share
this information again with the Parks Department.

Adjournment
On a motion by Paquier, seconded by Pearce the meeting was unanimously adjourned at 7:40pm.
